All Incident Reports are kept confidential. The data is filed in two places. One location is only accessible by GRAS Officers, and the assigned panel members if one is initiated. The second location is partially anonymised, and boiled down and only accessible by GRAS members. We will make every appropriate effort to protect anonymity of all witnesses involved during the investigation process. Though we acknowledge that it may not always be possible to prevent someone from guessing or assuming the identity of a reporter. If an incident requires legal action then GRAS may not be able to reveal results of a panel other than to say that there is ongoing legal action.
A list of GRAS members will be available for Alfheim Society members. GRAS Officers list is available publicly.
In order to ensure the safety and privacy of all our community members involved in the reconciliation process, it is the policy of GRAS to protect the confidentiality and privacy of those participants who are involved in investigations of incident reports, and to hold confidential all personally identifying or individual information, communications, observations, and information made by, between, or about participants, including the identity of the reporter.
GRAS shall not disclose any personally identifying information or individual information collected in connection with the investigations or reveal any individual participant information without the consent of the person about whom information is sought.
GRAS will avoid any inadvertent release of personally identifying information or individual information about any participant. The obligation to maintain confidentiality does not end when the investigation is concluded. Confidentiality extends to all current and former investigation participants, including those whose complaints were not investigated.
Actions taken as a result of a report may at times be shared with the greater community only when all relevant personally identifying information has been excluded.
Current and former GRAS committee members understand that their volunteer positions are contingent on adherence to confidentiality.
